Commission Terms
About these terms
These terms apply to bespoke artwork commissioned from Loom Illustrations, run by Abbey Welch, a UK sole trader.
Email: loomillustrations@gmail.com

Your written booking confirmation records your commission’s size, brief, price, deposit, estimated start date, deliverables and delivery charges. Any specific variations we expressly agree in writing take priority over these terms.
Booking and payment
Your booking is confirmed when you accept your booking details and these terms by email, and I reply confirming your slot. Joining a waiting list or submitting an enquiry does not confirm a booking.

Approximately one week before your scheduled start date, I will send a deposit invoice. The deposit is usually £25–£50, with the exact amount confirmed in your booking details, and is deducted from the total price.

Work begins once the deposit is paid. If payment is late, your slot may be released or artwork delayed to avoid impacting subsequent bookings.
Once the painting is complete, I will send a photograph for review. The remaining balance and agreed delivery charges are due before the original or high-resolution scan is released. Payment is available by card or bank transfer.
Your artwork brief
Please provide your references and essential requirements before painting begins. Your painting will be an original interpretation of the agreed brief in my watercolour style.

I will share a sketch for approval before painting begins. Please request major changes at this stage: finished watercolour usually cannot be significantly altered without damaging the artwork. Minor adjustments may sometimes be possible, but cannot be guaranteed.
Timing & cancellations
Start and completion dates are estimates unless we expressly agree a fixed deadline. I will let you know promptly about significant delays and discuss a revised timetable. Late payments, changes to references or brief details may affect your slot.

Please email me as soon as possible if you need to cancel.
-
Before paying your deposit: you can cancel without charge - just let me know as soon as possible.
-
After paying your deposit: I may retain the deposit to cover reasonable losses directly resulting from cancellation, including work completed and materials specifically purchased.
Finalising artwork
Please raise any concerns when I send the final photograph, before paying the remaining balance. We can discuss any practical minor adjustments.

If the painting meets the agreed brief but you are deeply unhappy with the result, you may decline it at this stage. I will retain the artwork and digital files, waive the remaining balance and retain only the deposit to cover reasonable losses for the services rendered. You will not receive the original, high-resolution file or permission to use the artwork.

If the painting does not meet the agreed brief, please explain your concerns so I can arrange an appropriate remedy.
Delivery and returns
After full payment, I will provide the agreed high-resolution scan and prepare the original for dispatch, where included. Delivery availability and charges will be agreed before booking.

Please check your delivery address carefully. I remain responsible for the original until it is delivered to you or someone you nominate. Contact me if it is delayed, lost or damaged, or if you cannot access your digital file.

Bespoke original paintings made to your individual specifications are generally excluded from the statutory 14-day change-of-mind cancellation right. I therefore do not offer change-of-mind returns of these paintings after delivery.

Your rights if artwork is damaged, faulty, misdescribed or otherwise fails to meet the contract remain unaffected, including where you approved a photograph. I will arrange an appropriate remedy in accordance with those rights.

Colours may vary slightly between screens, scans and the physical painting.
Copyright and usage
I retain copyright in my original artistic contribution to the painting. Your commission includes permission to display the original, make personal, non-commercial copies and share images online with credit to Loom Illustrations.
Â
You may use a printing service for personal copies. Selling reproductions, publicly distributing the high-resolution file or using the artwork commercially requires a separate written licence.

Unless we expressly agree otherwise in writing before booking, I may share photographs and scans of the commissioned artwork on my website, social media and portfolio, and produce and sell art prints of it.

Where you supply material for the commission, you confirm that you own or have permission to use it and can authorise these uses. To the extent you control the relevant rights, you grant me non-exclusive permission to incorporate that material into the painting and reproduce it as part of the finished artwork for the purposes above.

Please discuss any confidentiality, restrictions on sharing or print sales, or exclusivity requirements before booking. Agreed restrictions will be recorded in your booking confirmation.
